We are seeking an experienced and highly organized Operations/Logistics Manager to join our Executive Protection (EP) team. This role will be responsible for overseeing a wide range of logistical, operational, and administrative functions to ensure the smooth operation of EP services for our high-profile executives. The ideal candidate will possess strong coordination skills, an ability to manage multiple priorities, and a keen eye for detail.
You'll enjoy the flexibility to work remotely from anywhere within the U.S. as you take on some tough challenges. For all hires in the Minneapolis or Washington, D.C. area, you will be required to work in the office a minimum of four days per week.
Primary Responsibilities:
- Team-Level Coordination and Tracking:
- Oversee the tracking of firearms qualifications, maintenance, certifications (e.g., concealed permits in multiple states), and required training (use of force, de-escalation)
- Ensure timely scheduling of required team training and certifications. Note: This role focuses on logistics, not determining training content
- Expense Management:
- Review and approve travel and expense reports, ensuring alignment with budget and operational requirements
- Address discrepancies in expenses and escalate to the Director when necessary
- First-line approval for expenses and travel, with final approval by the Director
- Vendor and Contractual Support:
- Assist with monitoring and upholding contractual obligations with vendors, ensuring timely payments and service delivery
- Support coordination of contracted services in alignment with EP team needs under the guidance of the Director
- Housing and Lodging Coordination:
- Manage housing logistics for executive protection teams and other executives' lodging arrangements, including reservation management, cleaning services, and contract management for lodging accommodations
- Ensure all lodging is secure and meets the needs of the team
- Vehicle and Fleet Management:
- Oversee vehicle/fleet logistics, including credit card payments, maintenance tracking, and scheduling
- Perform audits of fleet vehicles, manage registration and plates, and ensure timely vehicle rotations
- Global Security Operations Center (GSOC) Coordination:
- Coordinate access management (Agents, Executives, and Executive guests)
- Track principal movements and support operational team members when deployed on assignments
- Represent the team in meetings as needed
- Large Event Coordination:
- Provide logistical support for major events such as the PLAYERS event, investor conferences, and others (Currently being done by Events Director)
- Manage vehicle coordination and ensure smooth integration of EP support services during large events
- Access Management Approver:
- Grant physical access to vendors and contractors requiring entry to buildings to perform EP-related tasks
- Ensure compliance with security protocols during access grants
- Support Coordination and Logistical Assistance:
- Work closely with operational teams to coordinate logistics and support requests
- Track movements and facilitate additional services as directed by the team lead or Director
- Support team leaders with logistics, staffing, and service coordination
- ASO Coordination:
- Serve as a backup to the Director for planning and staffing of ASO (Advanced Security Operations) missions
- Coordinate logistics and resources for ASO operations as needed
- Administrative and Coordination Functions:
- Perform a variety of administrative duties, including calendar management, meeting scheduling, and event security coordination
- Ensure seamless integration of event security with EP support operations
- Track and manage various logistical elements related to EP missions and team coordination

Required Qualifications:
- Proven experience in operations or logistics management, preferably in the executive protection or security field
- Experience with fleet management, maintenance scheduling, and vehicle logistics
- Solid organizational skills and attention to detail
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
- Familiarity with security protocols and executive protection operations
- Excellent communication and interpersonal skills
- Ability to manage contracts, vendors, and oversee financial processes related to logistics and operations
- Ability to work independently and as part of a high-performing team
- Knowledge of firearms and security certifications, as well as related training programs
- Flexibility and willingness to work in a high-demand, dynamic environment with changing priorities
- Previously worked or are currently working as a contractor placed at UHG or one of its subsidiaries or affiliates

- This position may require occasional travel and the ability to work flexible hours

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The salary for this role will range from $71,200 to $127,200 annually based on full-time employment. We comply with all minimum wage laws as applicable.
