Job Description:
Job purpose: The Burn Registrar maintains a database unique to the burn population. This can include identification, collection, coding, scoring, and entering of data into the burn registry database. In addition, performing follow-up for the purposes of incidence, treatment and outcomes, performance improvement, administrative planning and marketing, support programs, and research activities. Ensures adherence to data management protocols set forth to insure regulatory compliance standards, as well as requirements to obtain and/or maintain verification status by the American Burn Association. Assists with quality control activities, information requests, and quality improvement studies as requested, and will, through understanding of the tool, respond to all requests for information to include clinical interpretations of data element definitions and benchmark and/or comparative report interpretations. The burn registrar will be responsible for developing and maintaining general policies and procedures for data abstraction, validation of data for accuracy, and submission to appropriate entities. Demonstrates ongoing knowledge and application of process improvement activities, in concert with the American Burn Association, state and local programs, as well as with MDMC Trauma Program. Assures accuracy and continuation of work with other registrars and data analysts.

Education:
- Required: High school diploma or equivalent.
- Required: Relevant healthcare experience preferably in coding, chart abstraction or quality review minimum of 2 years' experience
- Preferred: Current license in State of Texas as Registered or Licensed Vocational Nurse, Paramedic or Coding Specialist with 2 years' experience in general medical/surgical nursing, critical care or trauma patient care
- Preferred: Burn Care Quality Program (BCQP) training and/or experience
- Technical Skills: Proficiency in computer data entry, extraction, and database management systems is necessary. Experience with electronic health records (EMR) is often preferred.
- Other: Strong analytical, critical thinking and communication skills are essential, along with a high degree of accuracy and attention to detail. The ability to work independently and maintain confidentiality is also crucial.
Licenses and/or Certifications (Required and Preferred):
- Other appropriate licensure or clinical/coding or healthcare certification may be considered
Related Work Experience and Other Skills:
- Ability to communicate effectively, orally and in writing with various levels of staff. Ability to work as a team player

- Effective organizational and time management skills
- Preferred: 2 years of registry experience at a Level I or Level 2 trauma facility.
Job Roles:
- Collect, abstract, and categorize detailed clinical and demographic data from patient medical records related to burn injuries, treatments, and outcomes.
- Assign appropriate codes (e.g., ICD-10 CM and PCS) to patient records.
- Ensure the quality and accuracy of data submitted to the Burn Registry, adhering to established data dictionaries and abstraction guidelines.
- Maintain and manage the Burn Registry database, including performing routine checks for data accuracy and implementing corrective actions for invalid data.
- Generate reports (monthly, annual, ad-hoc) related to burn registry data for various purposes, including performance improvement, research, and compliance reporting.
- Ensure the security and privacy of all burn registry data, adhering to HIPAA and other relevant regulations.
- Serve as a liaison with registry software vendors and the IT department to ensure proper functioning and updates of the database.
- Participate in quality assurance and data validation activities to ensure data accuracy and timely submission of data to relevant registries.
- Collaborate with the burn team on performance improvement initiatives, utilizing registry data for analysis and reporting.
- Maintain current knowledge of burn registry requirements, coding systems, and health information technology through ongoing professional development and training.
